Position Title: Information Management Assistant - Site Management Support (SMS)

Duty Station: Nekemte, Ethiopia

Classification: Graded, G5

Background

General functions:

The International Organization for Migration (IOM), as a member of the IASC, recognizes the importance of accurate and timely information to advise an adequate humanitarian response as well as future transition towards return and recovery. Insecurity and instability in Ethiopia have led to widespread internal displacement. IOM’s projects seek to provide a better understanding of IDP displacement and other mobility patterns in the country in order to inform a better targeted humanitarian response.

Under the strategic guidance of the SMS Program Manager and the direct supervision of the Information Management Officer, the IM Assistant will be responsible, for the following activities, according to the procedures and training provided by IOM.

Responsibilities and Accountabilities:

  •  Assist in the design, development and maintenance of databases and data collection for the SMS area of operations.
  • Assist the Information Management Officer, in compiling and collecting data for:
  1. SMS Monitoring Evaluation & Learning (MEAL) database, reporting against each indicator of every SMS project
  2. Monthly Service Mapping and Site and Kebele Profiles
  3. Masterlist of SMS areas of operation and beneficiaries 5W database
  4. Community Feedback Mechanism (CFM)
  5. Other databases or tools as may be requested
  • Through the technical guidance of the Information Management Officer, assist the SMS subunit at the field level in developing data collection tools, databases and statistical reports and sites maps.
  • Assist in reporting and report design requirements through Microsoft Publisher, ArcGIS and/or Adobe Illustrator.
  • Assist the Program in the development of its GIS system to produce maps related to database elaborations.
  • Ensure proper documentation and filing of the project documents such as Sources of Verification (SoVs), as well as of data collection forms.
  • Assist the Information Management Officer in developing or enhancing data collection tools (such as ODK), databases and statistical reports.
  • Assist head of sub office in producing adhoc information management products which will include quantitative and qualitative analysis, relating to the current humanitarian and displacement situation in Ethiopia.
  • Ensure that confidentiality and the right to privacy is maintained with regard to confidential information;
  • Undertake duty travel when necessary.
  • Any other duties that might be assigned.

Job Requirements

Education

University degree in Social Sciences, Business Administration, or related field of study.

 Experience

  • Working knowledge of GIS mapping will be considered an advantage.
  • Work experience from an international organization is an advantage Minimum of 5-year work experience.
  • Good communication and negotiation skills
  • Personal commitment, efficiency, flexibility, drive for results; capacity to work effectively and harmoniously within a team of colleagues from varied cultures and professional backgrounds.
  • Computer knowledge use including Microsoft and ability to use internet and email; 
  • Familiarity with mobile data collection technologies and GPS an advantage

Languages

  • Fluency in English (oral and written) is required
  • Knowledge of the primary / working Amharic and Oromifa is desirable
