Job Summary

Ethiopian Construction Design and Supervision Works Corporation (ECDSWCo.) is transforming and diversifying from the current consultancy business operations. Taking advantage of the existing ECDSWCo.’s strength and maximizing on the newly emerging external opportunities that are being prevalent with the shifts in Ethiopian Economic Policy – the Corporation is aiming to play a significant role to the success of the Ethiopian Construction Industry -by creating a vibrant business institution that will not only fill the gap that is in the current construction industry, but also replace the need for having international construction companies that are dominating the government mega scale projects.

To this, the Corporation is emerging as an Engineering and Investment Group. The proposed name of the Group is ‘’Ethiopian Engineering and Investment Group (EEIG)’’. The Group will comprise of three main operational business units i.e., Consultancy, Construction and Investment.

EEIG-Construction business unit key activities are high-end complex construction projects, predominately high-rise commercial and residential buildings, real-estate; infrastructure (roads, railways and airports) & water and energy sector construction. EEIG-Construction alone would grow into a conglomerate of several business units including Piling, underground and foundation Works, Fit-Out, Energy (Solar Solutions), Electro- Mechanical Solution, Facility Management, Landscape and Construction Materials Production.

EEIG Construction is launched with the vision of being the best construction company in Ethiopia with a strategy of Timeously executing high-end complex projects, by utilizing proactive management skills as a Design and Build Contractor in order to achieve an optimum return and aspiring to be a competitive and preferred choice that can replace the current dependence on international contractors and deliver excellence. Reporting to:  QA-QC Manager

Position Overview/Scope of role:

To manage the document control team to control, distribute and archive the documents and records of the project. 

Roles and Responsibilities:

• Develop and establish project filing structure as per the document control procedure, ensuring the traceability of documents.
• Implement the document control procedure within the project in coordination with QA QC Manager.
• Receive all incoming correspondence and distribute to the team as per the distribution matrix/distribution marked by the project management.
• Receive submittals, including material submittals, shop drawings, prequalification documents and document submittals from subcontractors, distribute among the team as per the distribution matrix and submit to consultant based on the internal review results.
• Receive/collect the commented/approved documents from consultant, assess the document type and distribute to the team as per the distribution matrix/ distribution marked by the project management.
• Transmit the approved/commented submittals to subcontractor, as per the directions of management.
• Maintain the registers and logs of all submittals and documents in and out of the project including 
• Incoming Correspondence Register
• Outgoing Correspondence Register
• Transmittal register
• Submittal Register
• RFI Register
• Clarification request log (Subcontractor)
• Internal Review register - Submittals/documents
• Work Notification and Work Inspection Register
• Material Inspection Register
• NCR Register (Internal NCRs and Client issued NCRs
• Deficiency Log
• Rejection Register
• Site Query register
• CVI’s
• EI’s etc 
• Provide the status of submittals, correspondence or other documents as per the management requirement
• Prepare/maintain the approval statistics of submittals and inspections
• Prepare detailed trend analysis of various submittals and inspections as per the management requirement in coordination with QA QC Manager

Job Requirements

Qualification: BSc. in IT/Computer Science

Experience: 3 years or above in Construction company in document controller role

Candidates should have an international experience or have worked for international companies here in Ethiopia.

Candidate should be able to travel and work anywhere in Ethiopia.
