Job Description

Role Purpose

In Ethiopia, Plan has more than 25 years of experience in implementing its programme. Currently PIE mainly operates in seven geographical areas; Amhara, Oromia, SNNPR, Gambella, Benishangul Gumuz, Afar, and Addis Ababa City Administration on different projects funded by different donors including sponsorship.

Plan International Ethiopia's main purpose is to seek Gender Justice for Girls, Adolescent Girls, and Young Women. We aim to help create an enabling environment where girls, adolescent girls, and young women are safe, valued, equally cared for, and have equal opportunities. PIE will contribute to the global strategy by aiming to reach directly 2.1 million Girls, Adolescent Girls and Young Women over the period of the strategy 2020-2024 and to reach an additional 6.3 million beneficiaries through its interventions.

The position holder will be responsible to maintain a consistent and up-to-date supply administration in the Country Office, including stocks and fixed assets inventory. He/she records and tracks purchase requisitions and stock requests, their status and closure. The Supply Administrator also performs the Country Office stock administration (stationary, spare parts) and acts as storekeeper, observing min/max stock levels in consultation with the Logistics Manager and making requisitions for timely replenishment.

Internal: The job holder has a close internal work relationship with the following departments/units and/or functions: 

  • Logistics Manager and Procurement Officer for maximizing service delivery by the department
  • PA Logistics Coordinators for maximizing service delivery by the department
  • CO staff for maximizing service delivery
  • Other Logistics staff for maximizing service delivery

External: The job holder has a close external work relationship with the following

  • Vendors and suppliers for service delivery

Accountabilities and MAIN WORK ACTIVITIES

Receiving Purchased and Donated Supplies (25%)

  • Ensure the materials delivered at the warehouse are the right quality and quantity and in line with our contracts and purchase orders before signing the delivery note and issuing the GRV.

Dispatching the Inventories and Fixed Assets to Different Projects (25%)

  • Ensure the request for supplies are authorized by the budget holder or the right delegate before issuing the waybill, dispatch note and stock issue voucher

Fixed Asset Management (20%)

  • Keep the asset register database regularly updated based on the information we from the GRV and the custodian

Regular Updating of the Stock Transaction (10%)

  • Update regularly the stock transaction on the bin card and the stock ledger

Assistance in Periodic Reporting (10%)

  • Provide assistance in periodic reporting on stock transaction and asset transfer and movement

Filing and Documentation (10%)

  • Keep document files of inbound and outbound logistics for reference and reporting

Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)

  • Understand and put into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC).
  • Ensure that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.
  • Ensure that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.

QUALIFICATIONS AND EXPERIENCE REQUIREMENTS

Qualifications/Experience Essential:

  • Education at BA Degree level or equivalent study in fields such as Logistics, Supply Chain Management, Business Administration, Management, Economics and any other related field
  • 3 (Three) years of relevant work experience in INGOs, involving in the supply management of both emergency and development programs.

Qualifications/Experience Desirable:

  • Experience in the supply management of both emergency and development programs

Knowledge and Skills Essential:

  • Knowledge of Warehouse Management and asset management  
  • Communication Skills
  • Multi-tasks handling skills
  • Ability to be proactive and provide attention to detail

Languages Required

  • Fluency in English language is essential
  • Knowledge of local languages is a desirable
