Purpose of the job
We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace.
Main duties & responsibilities
- Prepare department annual budget as the order of Administration & Finance Manager.
- Follow up the on-time supply of employee’s uniforms and workwear and control the implementation as required.
- Follow up outsourced & casual employee’s recruitment as requested by the concerned department and daily activity.
- Manage and follow up company security issues
- Follow up outsourced and casual employees as per their recruitment agreement and Control allover activities
- Follow up and control Factory clinic Service and compound cleaning and hygiene Issue.
- Follow up for related employee’s insurance matters.
- Responsible to strengthen community and governmental institutions' relations as per the company policy.
- Follow up and supervise canteen, resting room, and transport service or all general service activities and submit report weekly /monthly the service status with a solution.
- Provide administrative support to ensure efficient operation of the office.
- Answer phone calls, schedule meetings and supports visitors.
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Make travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
- Exhibit polite and professional communication via phone, e-mail, and mail.
- Support team by performing tasks related to organization and strong communication
- Develop administrative staff by providing information, educational opportunities, and experiential growth opportunities.
- Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Provide information by answering questions and requests.
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies
- Contribute to team effort by accomplishing related results as needed.
Perform other related duties as required or Perform other assignments given by his immediate leader.
Other Health, Safety, and Quality Responsibilities:
- Supervise and Follow-up the personal hygiene of production-related workers and working areas.
- Strict follow-up the application of personal hygiene of employees who are working in related to food processor.
- Strict follow up for the on-time supply and regular application of PPE
- Strict follow up the application and regular supply of cleaning and sanitizing activities.
- Follow up and ensure the application of safety devices among departments/sections.
Job Requirements
- Knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
- Valid driver’s license and current automobile insurance
- Excellent written and verbal communication skills
- Excellent time management skills; ability to prioritize
- Willingness to learn and to grow with the company
- Motivated to take on additional projects and solve problems
- Self-directed and able to work without supervision
- Comfortable in both a leadership and team-player role, manage team members, lead assistant meetings, and supervises when needed
- Prior experience as an office assistant, office administrator, or handling administrative responsibilities in a related field
- Highly organized multi-tasker who works well in a fast-paced environment
- Responsible for company & employee information confidentiality
Expected Education and Experience
- BA Degree, in Management/Human Resource, Business Administration, and related fields.
- 3 up to 5 years’ experience out of which, 2 years and above in supervisory position and administrative assistant position
