Position Title Program Assistant – Information Management (IM)

Organizational Context and Scope

Under the overall supervision of the Migration Management Unit (MMU) Programme Coordinator and direct supervision of the National Program Officer-MEAL, the incumbent will be responsible to:

Responsibilities and Accountabilities

  1. Assist in the implementation of the IOM EPC Protection Mainstreaming strategy/action plan in coordination with all EPC sub-units and taking into account the external Protection coordination fora and programming, to ensure that IOM EPC programme design does no harm, that staff are well trained in protection principles.
  2. Support the timely preparation and generation of MMU information products, and then information sharing and dissemination to all relevant channels, this includes the generation of summary tables using Power-Bi, Excel, Access or statistical software such as SPSS.
  3. Participate in the design of MMU’s project/programme data collection, and analysis methodologies and data quality control, and add input how to implement quality improvement measures.
  4. Conduct statistical analysis on large quantitative datasets
  5. Support the creation and management of MMU knowledge management archive and web-based recoding of beneficiaries (training, direct assistance, capacity building, returnees record)
  6. Support the draft and production of Unit level reports (project-based reports, National and regional dashboards, flash reports, and situation updates, among others)
  7. Support in designing MMU databases/archives and information systems, dataset extraction for analysis, data representation, and timely uploading and maintenance of information.
  8. Design and manage a registry system for incoming and outgoing project/programme records.
  9. Review project data collection tools, project monitoring reports and determine appropriate document / file classification category.
  10. Create and maintain manual accession records and provide information to other unit staff in support of reference and archival arrangement and description activities.
  11. Prepare periodic information management reports for project/programmes in coordination with subunit heads and project focal.
  12. Prepare project tracking updates for managers as needed.
  13. Perform such other duties as may be assigned.

Job Requirements

  • University degree in Statistics, Demography, or any other relevant information management field

Experience

  • Five years relevant work experience in analysis of data from wide-variety project/programmes and complex information systems
  • Experience in the development and implementation of information management systems
  • Experience in using statistical software programs such as Excel, STATA, SPSS and SAS for data analysis
  • Proven experience in converting survey and data collection tools into mobile based system. 
  • Research experience in the field of population studies, health, and migrants in Ethiopia, including field experience in survey coordination and implementation
  • Demonstrated experience Information Management system designing and implementation
  • Previous work experience with UN, and International Organizations and local NGOs dealing with migrants would be a strong advantage
  • Strong communication, organizational and interpersonal relationship skills
  • Ability to meet deadlines and work under pressure with minimum supervision
  • Experience in knowledge management, monitoring and evaluation in the non-profit sector is an advantage

Languages

  • Fluency in English and Amharic (oral and written) is required.
  • Working knowledge of other Ethiopian languages are an added advantage.
