Responsible to: Head of Finance and Operation

Length of Contract: Six months (with possibility of extension

Relations with Others: Close working relationship with the other members of the team, Programme staff and HR Nairobi/London.

Job purpose:

To provide a comprehensive and effective financial, administrative and human resource service to the Ethiopia office. The Assistant Human Resource Person will assist the Finance HR and Administration Officer in ensuring that Ethiopia office is provided and well supported in all areas of handling incoming and outgoing phone calls; staff recruitment process, arrange meetings, etc. in contributing to the work efficiency of the organization.

Job responsibilities

Human Resources

  • Manage all aspects of the recruitment, preliminary shortlisting of applicants and selection process with guidance from the head of Finance and Operation
  • Ensure that all staff contracts are drawn up and up to date; maintain and update all personnel files, follow up on expiry of employee contract and inform the management before the notice period
  • Follow up and update annual leave and sick records.
  • Ensure that all staff are trained, understand and abide by key HelpAge policies – Code of Conduct, Protection and safeguarding policies etc;
  • Advise the Head of Finance and Operation & Country Director on all legal issues pertaining to staff employment
  • Conduct exit interview for employee leaving the organisation.
  • Update staff list and with contact details
  • Does secretarial work and assist in developing letters as advised by senior staffs
  • Undertake any other duties as and when necessary and requested by the HOFO Manager to fulfil the objectives of HelpAge International’s programme.
  • Attend HR meetings

Support Services

  • Manage the incoming and outgoing calls in an efficient manner
  • Manage incoming and outgoing letters and file properly
  • Update important contact details of Partners; Donors; INGOS; Government offices, etc.
  • Organize events; arrange meetings

Safeguarding responsibilities

  • Preventing harm and abuse from our people, operations and programmes, to anyone that encounters our work
  • Reporting all safeguarding incidents, you see, hear, hear about or suspect, using our internal reporting mechanism.
  • Complying with all safeguarding framework policies and practices
  • Completing mandatory training courses relating to our safeguarding policy framework and comply with HR vetting procedures.

Job Requirements

Person Specifications

Essential

  • University degree in Human resource management with at least 1-3 years of experience. 1 years for Master holder and 3 years for MSC/BA.
  • Excellent communication skills in both written and oral English and Amharic
  • Ability to manage filing systems quickly and systematically
  • Should be familiar with use of Microsoft excel and word
