Scope of work summary

The Admin assistance will be responsible for financial and administrative matters and will report to and work closely with the Chief Executive Officer (CEO). He/she Perform payments, issue receipts, answer inquiries, and provide helpful information to customers’ and maintain a clean workplace. He/she provides polite and professional assistance via phone and e-mail, making reservations for workshop or travel arrangements, and being a helpful and positive presence in the workplace.

Major Duties & Responsibilities

  • Welcoming customers, answering their questions, and providing advice
  • Perform payments, ensuring all prices are accurate and proving a receipt
  • Processing refunds and resolve customer complaints, guide them and provide relevant information
  • Maintain payment records, ensuring they are complete, accurate, well archived and safeguarded.
  • Ensure agreed reporting dates are maintained according to ENA policies.
  • Develop and maintain excellent relationships with colleagues and partners.
  • Maintain other records and registers as required.
  • Answers phones and responds to emails.
  • Schedules appointments and meetings for staff.
  • Maintains office calendars and sends out reminders of impending appointments.
  • Assists in planning and overseeing events, workshops and seminars.
  • Creates flyers, newsletters, and brochures.
  • Reserves conference rooms and equipment for off-site meetings and workshops.
  • Perform other duties as assigned by supervisor

Job Requirement

  • Diploma in Accounting, Business or  Administration and other related fields.
  • More than 2 years’ work experience as a cashier and Admin.
  • Computer literacy and working knowledge of Excel, Ms-Word, Peachtree Accounting and other accounting software
  • NGO experience is preferable.

  • Good communication skills
  • Self-motivated, highly organized and detail oriented;
  • Good inter-personal skills to work in multi-disciplinary team set up

  • Ability to handle transactions accurately and responsibly.
  • High level of energy with strong customer service skills
  • Ability to travel for field activities
