Scope of work summary

The Finance Officer will be responsible for all financial matters and will report to and work closely with the Chief Executive Officer (CEO). He/she is responsible for planning and executing budgets, participating in audits, monitoring transactions, and preparing invoices. The Finance Officer shall at all times act in accordance with ENA policies and regulations.

Major Duties & Responsibilities

  • Keep financial records and perform financial procedures (e.g., receipts, payments requests, petty cash).
  • Ensure expenses are authorized and processed in accordance with agreed procedures for both ENA and Jhpiego.
  • Maintain the accounting reporting process, ensuring the accuracy and completeness of ledgers and all supporting documentation and compliance with finance and procurement regulations.
  • Maintain accounting records, ensuring they are complete, accurate, well archived and safeguarded.
  • Ensure agreed reporting dates are maintained according to ENA policies.
  • Prepare finance reports and account reconciliation reports according to organization policies on periodic basis.
  • Prepare tax documents for timely filing of organization tax.
  • Effect Monthly tax payment to tax authority and ensure proper documentation
  • Prepare Monthly VAT Reimbursement report and submit to USAID coordinating with Jhpiego
  • Prepare the annual financial audit processes through the preparation of standard reports as well as other custom reports as requested.
  • Administer all payroll activities as well as oversee vendor payments etc.
  • Reconcile monthly general ledger balance, invoices and credit card statements.
  • Maintain all financial records and files as per the organization policies.
  • Identify and resolve invoicing issues, accounting discrepancies and other financial related issues.
  • Manage all bill payments and customer invoicing as per the deadlines.
  • Streamline processes and procedures for improving operational efficiency of finance reporting and budgeting systems.
  • Maintain other records and registers as required.
  • Prepare quarterly vendor reports as per the Ethiopia government requirement.

Job Requirement

  • Bachelor degree in accounting ,financial management ,or business from recognized institution
  • A minimum of three years’ relevant experience in accounting, preferably in NGO
  • Administrative support experience
  • Computer literacy and working knowledge of Excel, Ms-Word, Peachtree Accounting and other accounting software
  • Experience in USAID funded NGO is preferable.

Required Skill and Abilities

  • Flexible and ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform;
  • Good communication skills in English and Amharic (written and oral)
  • Self-motivated, highly organized and detail oriented;
  • Good inter-personal skills to work in multi-disciplinary team set up
  • Ability to maintain confidentiality and foster trust and respect;
  • Ability to travel for field activities.
