General functions:

Under the general supervision of the Procurement Officer and the direct supervision of Logistics/Fleet Assistant, the incumbent shall be responsible for the followingl:

Core Functions / Responsibilities:

  1. Process residence permit for new arrived international employees including their families
  2. Process duty free privileges for new arrived IOM International employees’ business as advised by the supervisor,
  3. Process upon arrival Visa for IOM visitors, Consultants and trainers and for others who come to IOM for different assignments,
  4. Ensure the processing and approval of V I P documents in coordination with Ministry of foreign Affairs for all higher officials in IOM, as assigned by supervisor.
  5. Ensure the processing of VISA and residence permit for IOM international staff, consultants and visitors in coordination with different Ministry of Foreign Affairs, Immigration Offices in Ethiopia and different embassies/consulates, as assigned by supervisors.
  6. Processing renewal of residence permit for IOM international employees,
  7. Processing EFMHCAC (Ethiopia food, medicine and health care, administration, and Control) pre –import permit for Drugs that are sent to IOM clinic.
  8. Processing ARRA (Administrating Refuge and Returnee Affairs) Permit for IOM staffs who visit the refugee camp in Ethiopia.
  9. Processing ARRA (Administrating Refuge and Returnee Affairs) Permit for IOM staffs who visit the refugee camp in Ethiopia
  10. Assist in processing the procurement of sim cards, wireless internet devices, broad band internet requests and other ICT related requests in coordination with the service provider, i.e.  EthioTelecom.
  11. Assist in processing and approval of ICT related documents in coordination with the office of the Ministry of innovation, as assigned by supervisor.
  12. Responsible for the day to day maintenance of the assigned vehicles:  oil check, water, batter, brakes, tires, etc.
  13. Ensure that IOM Vehicle(s) are used only for official/authorized business as advised by the supervisor,
  14. Perform input in the daily travel log sheet including mileage, fuel consumption, destinations, and items in English,
  15. Keep a HIGH degree of confidentiality and discreteness in discussions which involve IOM and its officials,
  16. Ensure that the steps required by the local rules and regulations (pertaining to driving) are taken in case of involvement in an accident
  17. Compliance with security practices and radio checks as it pertains to the UNDSS security plans for Addis Ababa
  18. Processing ARRA (Administrating Refuge and Returnee Affairs) Permit for IOM staffs who visit the refugee camp in Ethiopia.
  19. Handle and follow up an application letters to American Embassy requesting Visa for IOM staff who will travel for escort purposes.

20.  Any other duties within the incumbent’s capabilities as assigned

Job Requirements

Education

  • University degree in social science or Collage diploma and five years on job experience in transport and logistics
  • Have third grade driving license and excellent driving skills.

Experience

  • Minimum of 5 years of professional experience in logistics and transportation, is required.
  • Experiences in refugee programs and other humanitarian intervention especially on refugees’ movement, interview and document verification.
  •  Proven ability to establish and maintain strong working relations with relevant Government, UN-agencies, different countries embassies and international organizations.
  •   Demonstrated experience in Logistics management and implementation, including resource/financial management,
  •   Appreciation of different cultures and the plight of migrants and refugees in Ethiopia.
  • Experience in working humanitarian agencies, especially the UN agencies, I/NGOs, supporting refugees is essential.
  • Thorough knowledge and experience in using Microsoft Office packages - (Outlook, Word, Access and Excel) is required.

Languages

  •  Fluency in English and Amharic (oral and written).
  • Working knowledge of other Ethiopian local languages is an advantage
