Program Assistant, Cardiovascular Health Initiative, Ethiopia

Vital Strategies / Resolve to Save Lives

 

The Program Assistant will support implementation of the Resolve to Save Lives cardiovascular health initiative, with a focus on team and partner coordination, administrative, documentation and logistical support as well as tracking of program progress and budget. S/he will be part of a small Addis Ababa based team and will report to the Ethiopia Country Representative for Resolve to Save Lives.

 

The Program Assistant’s duties shall include, but are not limited to:

 

·         Manage and execute logistics for local meetings, workshops and other events

·         In coordination with other staff, prepare materials for meetings and events

·         Plan regular meetings or calls with regional coordinators as well as partner institutions, including coordinating the agenda, circulating relevant materials, documenting actions and ensuring follow-up

·         Arrange travel and transportation planning and support for the Country Representative and visiting staff

·         Plan and organize periodic partner convenings to discuss and share technical information and lessons

·         Track budget and pipeline on program spending, providing updates as needed to senior management

·         Serve as administrative point of contact for partner institutions, vendors, and local consultants including for solicitation and receipt of monthly reports

·         Track and ensure follow-up on various program related inquiries

·         Support communication and coordination within the Ethiopia cardiovascular health team across all program regions

·         Manage scheduling, preparation, documentation and follow-up for internal team meetings;

·         Manage shared electronic folders and other key country office information

·         Prepare presentations and other communications materials such as project updates and reports, as requested by the Country Representative

·         Develop technical documents relating to cardiovascular health, including information sheets, case studies, etc, as needed

·         Maintain effective daily operations and make suggestions for process improvements when necessary

·         Manage and oversee special projects assigned by the Country Representative

 


Job Requirements

Required Qualifications:

·         Bachelor’s degree in Health Management, Public Health Administration or related field

·         At least four years’ work experience providing a range of administrative and program support, ideally within the not-for-profit public health sector

·         Exceptional organizational skills

·         Outstanding computer skills, with demonstrated experience using a variety of software applications including MS Office programs Outlook, Excel, Powerpoint, etc

·         In addition to Amharic, very strong English language skills, both written and oral

·         Well-developed interpersonal skills and customer service orientation

·         Familiarity with public health programming strongly preferred
