Plan International Ethiopia is looking for Administrative & Human Resource Officer for Asossa Emergency Response Project.
Main responsibilities and tasks:
A. Human Resource tasks
- Facilitate recruitment process and induction of new staffs according to the HR policy and procedure
- Maintain the personnel files properly
- Record and maintain staff leave balance and time sheet
- Facilitate performance appraisal tasks
- Facilitate staffs annual leave ,time sheet and HRIS management
- Facilitate the awareness and implementation of HR related corporate policies
B. Administrative tasks
- Facilitate the incoming and outgoing letters, telephone calls, fax and emails
- Perform secretarial and clerical services such as printing, binding, scanning, sending
- Coordinate office set up in consultation with staffs
- Arrange office equipment and furniture required for staffs/office
- Perform the reception of guests
- Arrange travels, flights, reservations, hotel and vehicle arrangements for staffs and guests
- Arrange meetings, workshops and related services
- Facilitate the availability of office supplies
- Facilitate vehicle management
- Perform asset and stock management
- Prepare correspondence, memos, reports, presentations, and emails to local counterparts, donors or other related offices or agencies in relation to the office operations and record and maintain minutes of staff meetings, management meetings, and other general meetings as required & to the expected standard.
- Carry out other duties such as translation works, take minutes of office meetings as requested by the supervisor
- Update the filing system and manage filing the office documents for both hard and electronic copies.
- Ensure documentation of all government and partners agreements, reports both in soft and hard copy maintained.
- Responsible of facilitate high level trainings, workshops and conferences
- Effect payments following the procedure of the organization
- Handle office expenses with in a petty cash limit under the approval of the project coordinator
- Perform other task as requested by the supervisor
Job Requirements
Qualification, Knowledge, Skills, Behaviours, and Experience Required to Achieve Role’s Objectives:
- University degree in business administration, human resource management, Office management and other relevant disciplines
- High Fluency in English (both oral and written) as the job demands it more
- At least three years experience working as an HR, administrative officer and cashier in international organization
- Skillful in interpersonal, time management, communication, and problem solving skills
- Very good computer skills, internet use, MS office and other data base related software
- Effective communication, team work and interpersonal sills
- Highly accountable and committed
- Able to work under pressure and deadline
- Be willing to occasionally travel to field as required.
