Job Description

Under the overall guidance and direct supervision of the Project Manager and in close cooperation with the Country Office Operations /Programme Team, the incumbent will be responsible for managing the procurement requirements of the SEEDS project. Specific duties include:

Specific duties:

  • Organization of procurement processes including preparation and conduct of RFQs, ITBs or RFPs, receipt of quotations, bids or proposals, their evaluation, negotiation of certain conditions of contracts in full compliance with UNDP rules and regulations.
  • Ensures smooth procurement operations of the Project and coordinates, as required, procurement requests from the Project with the Country Office Operations Unit.
  • Preparation of procurement plans for the office and projects and their implementation monitoring.
  • Preparation of Purchase Orders and contracts in and outside Atlas, vendor creation.
  • Implementation of the internal control system which ensures that Purchase Orders are duly prepared and dispatched. Timely corrective actions on POs with budget check errors and other problems.
  • Provide support to prepare annual and quarterly procurement plans as well as special report as required in consultation with the Project Manager; Prepares reports as scheduled;
  • Presentation of researched information on procurement in the Project.
  • Coordinates all requirements related to import of goods from outside the country;
  • Coordinates procurement requirements with PSO in Copenhagen;
  • Any other job as assigned by the \project’s management.

Job Requirement

University Degree in Business or Public Administration or related discipline

Interested applicants must have a minimum of 2 years of relevant procurement and/or administrative experience in programme/project support services, procurement and/or administration; Knowledge of ATLAS system required. Experience in the usage of computers and office software packages (MS Word, Excel, etc.).  Experience in handling of web-based management systems, ability to plan own work, setting priorities and completing it under pressure or when faced with competing demands; experience with election related project will be given preference; working experience with UNDP/any UN Agency is an asset.
